This Privacy Policy explains how Agent Scout LLC (“we,” “us,” “our”) collects, uses, shares, and protects information when you use the Platform: Medicare Agent Scout (medicareagentscout.com) and ACA Agent Scout (acaagentscout.com), each operated by Agent Scout LLC, a California limited liability company, which is the entity responsible for personal information collected through the Service. The same Privacy Policy, version, and effective date apply on both domains. Information you provide is used by the directory you interacted with; account and suppression (opt-out) information is maintained at the company level so an opt-out is honored across both brands.
Our privacy approach
We practice data minimization: we ask only for the information needed to connect you with the licensed agent you choose. We do not require you to share health information to use this directory, and we do not sell your personal information. Any optional details you choose to share (for example, the topic you need help with) are used only to route your request to the agent you selected.
Information we collect
At or before the point of collection, we provide a short notice on the form that links to this Policy.
- Consumer contact requests: name, email, phone, ZIP code, the product topic you select (optional), and any message you write when you contact an agent.
- Consent records: the exact permission-to-contact text you agreed to, plus the date and time, your IP address, your browser user agent, and the page the request came from. We keep these to document your consent.
- Agent and agency accounts: profile details, business contact information, licensing information (such as NPN and licensed states), and account settings. Payment details are collected and processed by our payment provider; we do not store full card numbers.
- Usage and device data: pages viewed, interactions (such as profile views and clicks), approximate location derived from ZIP, browser and device type, and similar analytics data.
Health information. We do not require doctors, prescriptions, or medical details to use the directory. Please do not submit sensitive health information through our forms. If you choose to discuss your health needs, do so directly with a licensed agent.
We do not ask for sensitive personal information and request that you not submit health or medical details through our forms. If you voluntarily include such information in a message, we process it only to deliver your request to the agent you selected. We do not use or disclose sensitive personal information to infer characteristics about you or for any purpose that, under California law, gives rise to a right to limit its use; accordingly, we do not offer a separate “Limit the Use of My Sensitive Personal Information” process.
How we use information
- To connect you with the single licensed agent you selected (or, for a “match me” request, one matched agent unless you separately agree to more).
- To provide agents and agencies with their leads, profile analytics, and account tools.
- To operate, secure, maintain, and improve the platform.
- To communicate with you about a request you submitted or an account you created.
- To comply with legal obligations and enforce our Terms.
How we share information
- With the agent you choose. When you submit a contact form, your information is shared with the single agent you selected (or one matched agent for “match me” requests, unless you agree to more). We do not broadcast your request to multiple agents. Once delivered, the agent independently controls and is responsible for its own use of your information under its own practices and applicable law; we are not responsible for an agent's handling of your information after delivery.
- With service providers. We use vetted vendors to run the platform — for example, hosting and database infrastructure, email delivery, payment processing, web analytics, and mapping/geocoding. These providers process data only to provide services to us.
- For legal and safety reasons. We may disclose information if required by law or to protect the rights, safety, or security of users, the public, or our platform.
- We do not sell your personal information, and we do not share it for cross-context behavioral advertising. Routing your contact request to the agent you choose is a disclosure made at your direction and is not a “sale.”
Submitting a contact request authorizes the agent you selected to contact you. You may withdraw that consent at any time by telling the agent directly or emailing us at contact@medicareagentscout.com. Withdrawal applies going forward only.
What not to submit (data minimization)
Do not submit Social Security numbers, full dates of birth, Marketplace usernames or passwords, identity-proofing information, application IDs, immigration documents, tax records, medical records, diagnoses, or treatment information through the directory contact form. Our forms do not request this information. Any eligibility information an agent later collects from you is collected by that agent, outside this Service, under the agent’s own obligations.
Health information and HIPAA
Agent Scout LLC operates directories and contact-routing services. It does not provide health care, health plans, or health care clearinghouse functions, and it does not act as a HIPAA covered entity or business associate for any Platform function. Nothing on the Service is HIPAA-certified, and you should not submit medical information through it.
Service providers
We share information with service providers only as needed to operate the Platform: hosting and infrastructure, database, CRM, analytics, email delivery, customer support, payment processing (Stripe), fraud prevention, and security providers. Service providers may use the information only to provide their services to us.
Shared suppression list; launch-list data
Commercial-marketing opt-outs are administered across both Agent Scout brands: opting out on either directory suppresses commercial contact from both. Transactional, account, security, support, and legally required communications are treated separately. Suppression records are retained as long as needed to honor your opt-out. Launch-list signups collected on acaagentscout.com beginning July 10, 2026 (name, email, state, and the consent text shown at submission) are used consistently with that notice — to contact you about the ACA Agent Scout launch — and are covered by this policy.
Cookies and analytics
We use cookies and similar technologies, including Google Analytics, to understand how the site is used and to improve it. These tools may collect usage and device data as described above. You can control cookies through your browser settings, and you can opt out of Google Analytics using Google's browser add-on. We honor recognized browser privacy signals where required by law.
Data retention
We retain contact-request records (including the consent text shown at submission), profile versions and approval records, compliance evidence, suppression records, and billing records for as long as needed to provide the Service, comply with legal and audit obligations, resolve disputes, and enforce agreements — and, for compliance evidence, at least as long as applicable regulations require. Suppression data is kept as needed to honor opt-outs.
We keep each category of personal information only as long as necessary for the purposes described in this Policy. To decide how long that is, we consider: how long we need the information to connect you with an agent or to operate your account; how long we need it to document consent and defend against potential claims, consistent with applicable limitations periods; whether we must keep it to meet tax, accounting, or other legal obligations; and the volume, nature, and sensitivity of the information. When information is no longer needed under these criteria, we delete or de-identify it. Consent records may be kept longer than other contact data to demonstrate compliance.
Your privacy rights
Depending on where you live, you may have the right to request access to the personal information we hold about you, to request correction or deletion, to opt out of any sale or sharing (we do not sell or share for advertising), and to not be discriminated against for exercising these rights. To make a request, contact us through our contact page. We will confirm receipt within 10 business days and provide a substantive response within 45 calendar days. An authorized agent may submit a request with proof of authorization and verification of your identity. If we deny your request, you may appeal by replying to our decision, and you may also contact your state attorney general.
California residents: we do not sell or share personal information as those terms are defined under California law, and we honor the rights above. Residents of other states with comprehensive privacy laws (including Virginia, Colorado, Connecticut, Texas, and Oregon) have similar rights, which we honor as applicable.
Children's privacy
This site is intended for adults and is not directed to children. We do not knowingly collect personal information from anyone under 18. Please do not submit information about a minor.
Security
We use measures such as server-side validation, rate limiting, encryption in transit, and access controls to protect data. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Changes to this policy
We may update this Privacy Policy from time to time. We will revise the “last updated” date above when we do, and material changes will be reflected on this page.
